Dalton Leisure Centre Refund Policy
1. Introduction
At Dalton Leisure Centre, we are committed to providing high-quality services and ensuring customer satisfaction. This Refund Policy outlines the conditions under which refunds may be granted for memberships, personal training sessions, classes, swimming lessons, and other services offered at our facility.
2. General Refund Conditions
Refunds will only be considered upon receipt of a written request, stating the reason for the refund, and accompanied by any relevant supporting documentation.
Refund requests must be submitted within 30 days of the original transaction date.
All refunds are subject to management approval and may be processed back to the original payment method.
3. Membership Refunds
Cooling-Off Period: Members are entitled to a full refund if they cancel their membership within 14 days of the start date, provided no services have been used.
Pro-Rata Refunds: After the cooling-off period, refunds will be issued on a pro-rata basis for the unused portion of the membership if cancellation is due to:
Medical reasons (with a valid medical certificate)
Relocation beyond a 20-mile radius (with proof of new address)
Extenuating circumstances, at the discretion of management
Non-Refundable: Membership fees are non-refundable in cases of voluntary cancellation without valid reasons as listed above.
4. Personal Training and Class Refunds
Cancellations: Refunds for personal training sessions and classes are available if cancelled at least 24 hours in advance. Late cancellations (within 24 hours) are non-refundable.
Unused Sessions: Clients may request a refund for unused personal training sessions or class credits if unable to continue due to medical reasons (with documentation).
Non-Transferable: Purchased sessions or class credits are non-transferable to other individuals.
5. Swimming Lesson Refunds
Cancellations: Refunds for swimming lessons will be granted if cancelled more than 1 month prior to the start of the term or lesson block.
Missed Lessons: Refunds will not be provided for missed lessons due to personal reasons, including holidays or illness, unless accompanied by a valid medical certificate.
Program Cancellations: If Dalton Leisure Centre cancels a swimming lesson or term, a full refund or credit will be offered for the cancelled sessions.
Extenuating Circumstances: Requests for refunds due to extenuating circumstances will be considered on a case-by-case basis at the discretion of management.
6. Events, Courses, and Special Programs
Refunds for events, courses, or special programs will be granted if cancelled more than 7 days before the start date.
No refunds will be provided for cancellations made within 7 days of the event or after the program has started unless due to medical or extenuating circumstances (with documentation).
7. Facility Closures and Service Interruptions
In cases where Dalton Leisure Centre must close temporarily due to unforeseen circumstances (e.g., maintenance, health emergencies), memberships and services will be extended accordingly. Refunds will only be provided if the closure exceeds 30 consecutive days.
8. How to Request a Refund
Submit a written request to Shaun@daltonleisurecentre.onmicrosoft.com or at the reception desk.
Include the following details:
Full name and contact information
Description of the service/membership
Reason for the refund request
Supporting documentation, if applicable
9. Processing Time
Refund requests will be reviewed within 10 business days of receipt.
Approved refunds will be processed within 14 business days after approval.
